Case studies

Examples explained without jargon: what the problem was, how it was done before and what solution we propose. We clearly mark which one is a real case and which are demonstrations.

Real case

Quotes that prepare themselves

Problem: At Elda Flow every quote request meant reading the message, working out prices and taxes based on the client's country and putting the document together by hand.

Before

Read each email, look up prices in a spreadsheet, work out VAT based on the country and whether it is a business or an individual, prepare the PDF and reply.

Solution

An automation collects the request, AI prepares a draft using our price list and saves it in an internal dashboard. There we review it, adjust it and send it in the same email thread.

Result

Every request arrives already organised with a draft ready. Nothing goes to the client without a person reviewing it.

Tools: n8n, Claude (AI), Gmail, our own .NET application and PostgreSQL.

Demonstration

PDF invoices recorded in a database

Problem: Supplier invoices arrive as PDFs by email and their data has to be copied by hand.

Before

Open each PDF, copy supplier, date, net amount, VAT and total into a spreadsheet or the accounting software and file the document.

Solution

Each incoming invoice is read automatically, its data is extracted, the amounts are checked and it is saved in a database together with the PDF.

Expected result

Invoices are recorded without typing and a person only reviews those with doubtful data.

Tools: n8n, an AI model to read documents and PostgreSQL.

Demonstration

Sorted emails and automatic alerts

Problem: The shared inbox mixes orders, questions, incidents and invoices.

Before

Someone reads every email, forwards it to each person in charge, and sometimes an urgent incident goes unnoticed.

Solution

Each incoming email is sorted by type, labelled and forwarded to the right person. If it is urgent, an immediate alert is also sent.

Expected result

The inbox organises itself and urgent incidents quickly reach whoever has to solve them.

Tools: Gmail or Outlook, n8n and an AI model for sorting.

Demonstration

Reports with data from several sources

Problem: Every month sales, expenses and other data stored in different places have to be gathered.

Before

Export data from each program, paste it into Excel, reconcile it by hand and build the report.

Solution

A scheduled process collects the data from each source, validates it, flags discrepancies and generates the report as a PDF or spreadsheet.

Expected result

The report is ready for a final review, with the same criteria every month.

Tools: n8n or a .NET script, spreadsheets and each program's API.

Demonstration

Syncing two applications

Problem: The online store and the management software each have their own list of customers, products and stock.

Before

Enter the same thing twice and fix the differences by hand when they do not match.

Solution

An integration detects changes in one application and applies them in the other, with a log of what has been synced and alerts if something fails.

Expected result

Data is entered once and both programs show the same information.

Tools: Both applications' APIs and n8n or a .NET service.

Demonstration

Internal app for a specific task

Problem: An internal process, such as incidents or equipment bookings, is run on a spreadsheet everyone edits.

Before

A shared sheet with different versions, overwritten data and no way of knowing who changed what.

Solution

A simple web app with just the right fields, per-person permissions, change history and automatic notifications.

Expected result

Everyone sees what concerns them, data is not overwritten and every change is recorded.

Tools: .NET, PostgreSQL and a web interface.

The demonstrations are illustrative examples, not client projects, and they do not include savings figures because those depend on each business. Tell us about your case and we will tell you what can be done.

Tell us which task you would like to simplify

Explain how you work today and what you would like to improve. We will look at whether an automation or a software solution can help.
